Accidentally deleted a file from OneDrive? Personal accounts get 30 days in the Recycle Bin; Microsoft 365 Business accounts get up to 93 days.
This guide covers every recovery path including Recycle Bin, Version History, and Admin-level restore.

Recovering deleted files from OneDrive typically takes just a few clicks — deleted items go to a Recycle Bin with a retention period that depends on your account type. Personal Microsoft accounts get 30 days; Microsoft 365 Business and SharePoint users often get up to 93 days.

This guide covers every recovery scenario: personal OneDrive, Microsoft 365, SharePoint, and what to do when the Recycle Bin window has already passed.

Part 1. Restore from OneDrive Recycle Bin (Personal)

All files deleted from OneDrive on a personal Microsoft account move to the OneDrive Recycle Bin, where they stay for up to 30 days before automatic permanent deletion.

Steps to restore from OneDrive Recycle Bin:

  1. Go to onedrive.live.com and sign in.
  2. Click Recycle Bin in the left sidebar.
  3. Find and select the file(s) you want to restore.
  4. Click Restore at the top.

Alternatively, access the Recycle Bin from the OneDrive folder on your Windows PC:

  1. Open File Explorer → click OneDrive in the left panel.
  2. Right-click the OneDrive icon in the system tray → View onlineRecycle Bin.

💡 Tip: The OneDrive Recycle Bin is separate from the Windows Recycle Bin. A file deleted from your OneDrive-synced folder may appear in both — check the Windows Recycle Bin first (it's simpler), then check OneDrive online if not found there.

OneDrive Recycle Bin retention by account type:

Account TypeRecycle Bin Retention
Personal Microsoft Account30 days
Microsoft 365 Personal/Family30 days
Microsoft 365 Business Basic/Standard93 days
SharePoint Online93 days (first-stage + second-stage)
OneDrive for Business (SharePoint)93 days total

Part 2. Restore Deleted Files in Microsoft 365 Business / SharePoint

Microsoft 365 Business accounts have a two-stage Recycle Bin that extends recovery to a total of 93 days.

Stage 1 Recycle Bin (user-level):

  • Items sit here for the first portion of the 93-day period
  • Users can restore directly from their OneDrive Recycle Bin

Stage 2 Recycle Bin (site collection level):

  • Items move here after Stage 1, or when manually deleted from Stage 1
  • Only Site Collection Administrators can access Stage 2

How Admins access Stage 2:

  1. Navigate to the SharePoint site collection.
  2. Append /_layouts/15/AdminRecycleBin.aspx to the site URL.
  3. Find and restore the item from the second-stage bin.

🗣️ r/Office365 user: "Our user deleted a shared folder in OneDrive for Business. IT was able to restore it from Stage 2 Recycle Bin a week after it was purged from the user's view. Saved the whole project."

⚠️ Important: The combined 93-day window is shared between Stage 1 and Stage 2 — it's not 93 days in each stage. Once the total 93 days have elapsed, the file is permanently removed from Microsoft's servers.

Part 3. Recover Overwritten Files with OneDrive Version History

Version History in OneDrive allows you to restore older versions of files that were overwritten, not just deleted. This applies to Office documents (Word, Excel, PowerPoint) and most other file types stored in OneDrive.

Steps to use Version History:

  1. Go to onedrive.live.com.
  2. Right-click the file → Version history.
  3. Browse the list of previous versions with timestamps.
  4. Click Restore next to the version you want, or Download to save a copy.

💡 Tip: In Microsoft 365, you can access Version History directly from within Word, Excel, or PowerPoint by clicking FileInfoVersion History. This works without leaving the app.

OneDrive Version History capabilities:

Part 4. OneDrive Recycle Bin on Windows — Desktop Sync

When you delete a file from the OneDrive folder in File Explorer on Windows, it goes to the local Windows Recycle Bin first, then gets synced as deleted to OneDrive. This means you may have two chances to recover it.

Recovery order to follow:

  1. Check Windows Recycle Bin (Desktop → Recycle Bin) — easiest and fastest
  2. Check OneDrive Recycle Bin (web) — if not found in Windows Recycle Bin
  3. Check Version History for overwritten files

🗣️ r/onedrive user: "I deleted a Word document from my OneDrive folder and couldn't find it. Checked the Windows Recycle Bin and it was right there — didn't even need to go online. Always check Windows Recycle Bin first."

Part 5. What Happens When OneDrive Storage Is Full

When your OneDrive storage is full, Microsoft pauses syncing — new files won't upload. Deleted files still go to the Recycle Bin, but the Recycle Bin itself may also be limited by storage quota.

💡 Tip: If your OneDrive storage is nearly full and you see files not syncing, free up space by moving files off OneDrive — do not delete files that you may need from the Recycle Bin, as deleting items from the Recycle Bin while at quota can permanently remove them without warning.

Part 6. Local Files Deleted Alongside OneDrive

If you had files synced to OneDrive and also stored locally in your Windows Documents or Desktop folders, and those local copies were deleted from the PC, Ritridata can scan the local hard drive to recover the locally deleted copies — independent of whether the OneDrive cloud copy is still available.

This is particularly useful when OneDrive sync was disabled, files were moved out of the sync folder, or the OneDrive account was disconnected before deletion occurred.

FAQ

Q: How long does OneDrive keep deleted files? Personal Microsoft accounts retain deleted items in the OneDrive Recycle Bin for 30 days. Microsoft 365 Business and SharePoint Online retain deleted items for up to 93 days through a two-stage Recycle Bin.

Q: Can I recover permanently deleted OneDrive files after 30 days? For personal accounts, once files are purged after 30 days, Microsoft cannot recover them. For Microsoft 365 Business, a Site Collection Admin may recover files from Stage 2 Recycle Bin within the 93-day window.

Q: Is the OneDrive Recycle Bin the same as the Windows Recycle Bin? No, they are separate. The Windows Recycle Bin handles files deleted from local drives. The OneDrive Recycle Bin handles files deleted from your OneDrive account (both online and via sync). Check both when looking for a deleted file.

Q: Can I recover an older version of a OneDrive file? Yes. OneDrive Version History allows you to restore previous versions of files. Right-click any file in OneDrive web → Version history → select a version and restore.

Q: What should I do if I deleted files from OneDrive that were shared with others? The file owner or an Admin can restore shared files from the Recycle Bin. If you were the owner and deleted the file, restore it from your own OneDrive Recycle Bin — it will reappear for all people it was shared with.

Q: Does OneDrive Recycle Bin count against my storage quota? Yes, items in the OneDrive Recycle Bin do count against your storage quota until they are permanently deleted or the retention period expires.
